Agency & Recruiter Submission Policy
Kay-Twelve appreciates the role that professional recruiting partners can play in helping organizations identify and attract exceptional talent. To ensure a consistent and fair hiring process, Kay-Twelve has established the following policy regarding third-party recruiter and agency submissions.
Unsolicited Candidate Submissions
Kay-Twelve does not accept unsolicited resumes or candidate submissions from recruiting agencies, search firms, or third-party recruiters.
Any candidate information, resumes, or profiles submitted to Kay-Twelve employees without a signed recruiting agreement in place prior to the submission will be considered unsolicited. Such submissions will not create any contractual obligation or fee agreement between Kay-Twelve and the submitting agency.
Kay-Twelve will not be obligated to pay any placement, referral, or recruiting fees for candidates submitted without a previously executed written agreement.
Authorized Recruiting Partnerships
Recruiting agencies may submit candidates to Kay-Twelve only when:
- A written recruiting agreement has been fully executed by both parties before any candidate information is shared
- The agency has been specifically authorized by Kay-Twelve to support an open role
- Candidate submissions are directed through the Kay-Twelve Human Resources team or designated recruiting contact
Candidate submissions sent directly to hiring managers, employees, or other Kay-Twelve representatives outside of this process will be considered unsolicited.
Candidate Ownership and Prior Relationships
Kay-Twelve does not recognize candidate ownership claims or fee obligations from agencies without a written agreement executed in advance of the candidate submission.
Additionally, no placement fee will be owed for candidates who were previously known to Kay-Twelve, including individuals who:
- have applied directly to Kay-Twelve
- have been previously contacted by Kay-Twelve
- are present in Kay-Twelve’s recruiting systems, CRM, or talent network
- are referred through Kay-Twelve employees, partners, or professional networks
Submission of a candidate by an agency does not establish ownership of that candidate.

Recruiting agencies interested in partnering with Kay-Twelve should contact our Human Resources team before submitting any candidates.
Candidate submissions sent without a signed recruiting agreement in place will be considered unsolicited and will not create any fee obligation for Kay-Twelve.
